title: "Capture customer data"
description: Configure a table so your agent saves data like name, email, or phone during conversations.
---

An agent can save structured data from a conversation —for example, the name and email of an interested visitor— into a table in your workspace. Enabling capture gives the agent a tool to record that data in every conversation.

:::note[Before you start]
You need the editor or admin role in the workspace and access to the Data store feature. If you don't see the **Data store** tab, ask an administrator in your organization for access.
:::

## Enable capture on a table

1. **Open the agent**

    Open **Agents** in the sidebar and go to the agent you want to configure.

2. **Choose the table**

    Go to the **Data store** tab and choose the table where data will be saved.

3. **Open data capture**

    On the table, click **Data capture**.

4. **Turn on capture**

    Turn on **Capture data from conversations**.

5. **Set when to record**

    In **When to record**, describe when the agent should save data: for example, "when the visitor wants to be contacted or asks for a quote".

6. **Choose one record per**

    In **One record per**, choose **Conversation** for one record per conversation, or a column (like email) so repeat contacts update the same record without overwriting data they already completed.

7. **Define when a record is complete**

    In **Completes**, define when a record is complete. By default, having an email or phone is enough; you can also pick specific columns.

8. **Describe the columns**

    In **Columns**, indicate what each column holds (email, phone, name, company, or URL) so the agent validates and normalizes values.

9. **Turn on admin alerts**

    Keep **Notify admins** on if you want the workspace to receive a notification when a record becomes complete.

10. **Save the settings**

    Click **Save**.

:::tip
In the playground and the public test link, the agent validates the data but does not save it. To test for real, chat with the published agent from a channel.

## Optional retention

You can have older records deleted automatically after a number of days.

1. **Turn on retention (optional)**

    In the **Data capture** dialog, turn on **Automatically delete older records (optional)**.

2. **Set the retention period**

    In **Retention in days (1–3650, whole days)**, enter how many days records are kept from their creation date.

3. **Save the retention**

    Click **Save**.

If you enable retention or shorten it, TukiAssistant asks for confirmation because the next cleanup can also delete existing records that are already older than the interval. Review **Delete existing older records?** and confirm with **Confirm retention and deletion**.

Retention is counted from each record's creation date (editing it does not renew it), it is off by default, and it keeps working even if you later turn off capture for new data. To stop it, turn it off and save again.
